Food Team

The Food team maintains reception refreshments, prepares the food hall, checks eligible people in, serves efficiently and completes the cleanup. Food and Parking volunteers rotate under one lead.

Entry rule: the contestant food area is for registered contestants and their recorded guardian(s). Do not make exceptions yourself. Any separate arrangement for judges, staff or special cases must come directly from the Food/Competition Lead.

Reception refreshments

  • One assigned Food volunteer makes regular, sensible checks throughout the day.
  • Keep tea, water, snacks, cups, milk, sugar and napkins filled and tidy.
  • Reception may contact the Food team when something is low; respond promptly without leaving another station uncovered.
  • Wipe spills quickly and keep hot drinks away from programme devices and busy walkways.

Food-hall setup

Food, plates, cutlery, water and serving equipment are ready.
Entrance and exit routes are clearly separated where possible.
Three charged devices have the correct competition open in the Food Hall programme.
Bins, bags, cloths and cleaning supplies are in place before serving starts.
Food-break procedure

Entrance team — 3 people

  1. Ask for the contestant's name and find them in the Food Hall programme.
  2. Confirm the contestant and recorded guardian(s) before allowing entry.
  3. Mark the meal as served so the information updates for reception.
  4. Keep the line moving, but never skip the check because the hall is busy.
  5. If a name cannot be found or someone disputes the rule, keep calm and refer them to the Food Lead or reception.

Serving and cleanup

  • Serve portions consistently and ask the Food Lead before changing the serving plan.
  • Keep hot food, allergens and spillages controlled. Escalate any allergy query rather than guessing.
  • Refill serving points before they run empty and keep entrances, exits and fire routes clear.
  • After service, collect waste, replace bin bags, wipe tables and serving surfaces, and return equipment.
  • The Food Lead checks and releases the team only when the hall is fully clean and safe.
Parking and Food rotation

Parking and Food responsibilities are shared to make the day fairer and less repetitive. Follow the rota sent to you. If one area becomes busier, the Parking/Food Lead may move people—but volunteers must not move themselves.

Always hand over: tell your replacement what is stocked, what is running low, any unresolved food-entry query and what still needs cleaning.
Meals for judges and volunteers

Who eats where

  • In the masjid: judges and volunteers serving inside the masjid, including Room Teams, Receptionists and Ushers.
  • In the main food hall: volunteers assigned to Parking and Food.
  • Follow the location allocated to your team so that stations remain covered and the food hall does not become overcrowded.
  • Do not bring extra people into a staff or volunteer meal area without approval from the Food Lead.

When Parking and Food eat

  • Parking and Food volunteers will eat either before the main food break or after it.
  • The timing depends on the flow of the competition and will be decided by the organiser together with the Parking/Food Lead.
  • Wait until your lead releases you and confirms who is covering your responsibility. Never leave parking, check-in, serving or cleanup unattended.
  • Any change will be shared in the volunteers’ WhatsApp group, so remain attentive to messages throughout the day.
Our intention is to look after every volunteer well: we will make every effort to ensure that all volunteers receive a good meal. If, despite our efforts, we are unable to cater for someone properly, we sincerely ask for your understanding and forgiveness. Please tell the Food Lead early about any allergy or essential dietary need—never guess about allergens.
